The ModernLoop website or a candidate portal does not load.

  1. Open the page in a private window and on another network.
  2. Check status.modernloop.io for an active incident.
  3. If only one candidate reports it, ask them to try another device and to send you the time and the page they saw.

Login Failed

Sign-in is refused. Recruiters often sign in through their company login, so the route matters.

  1. Use the sign-in route your company set up, such as single sign-on.
  2. If the message says the password is wrong, reset it and check spam.
  3. Ask your administrator to confirm your user is active and in the right team.
  4. Try a private window to rule out an old session.

Calendar Sync Error

Interview times in a calendar do not match ModernLoop, or new events are not created. The calendar connection has usually expired or lost permission.

  1. Check the calendar connection is still active, and reconnect it if it has expired.
  2. Check the calendar account has permission to create and read events.
  3. Check the interviewer's working hours and time zone, since a wrong time zone gives wrong slots.
  4. Once reconnected, test with one interview before sending invites to several people.

ATS Integration Error

The link to your applicant tracking system stops sending or updating candidates and stages.

  1. Check the integration is still connected and its login has not expired.
  2. Check the candidate and the job exist in the tracking system with the same name or ID.
  3. Open the integration's log and fix the first error, since later errors often follow from it.
  4. Test with one candidate, then run a wider sync.

Candidate Portal Down

Candidates cannot open the portal to pick a time or confirm an interview.

  1. Ask the candidate to try another device and a private window, then send you the exact message they see.
  2. Check the portal link is the current one from the invitation, not an older one.
  3. Check status.modernloop.io for a candidate portal incident.
  4. If the portal is down for everyone, offer candidates another way to confirm, such as a reply by email, until it is back.

Email Notifications Failed

Invites or reminders are not sent, or they do not arrive. Spam filters and a wrong sender address are common reasons.

  1. Check the candidate's address for typos, and check their spam folder.
  2. Ask your IT team to check the sender address and its domain setup, since mail can be blocked without it.
  3. Check the notification setting for that interview type is turned on.
  4. Send a test email to yourself. If it does not arrive, check the status page for an email incident.

Scheduling Error

A slot cannot be booked, or the scheduler shows no times for an interviewer.

  1. Check the interviewer is available, trained for the role and not already at their load limit.
  2. Check the date range is wide enough and that the interviewer's calendar is connected.
  3. Check the working hours and time zones for the candidate and the interviewer.
  4. If no time shows for anyone, check the status page and tell your administrator the job name and the date range.
